Task Management using CRM Tools:Marketing related Tasks


This is the second part of the task management series; today, we are going to find out how the task management functionality in CRM can be used to manage your marketing-related tasks.

Typically, marketing management is all about promoting your offerings, services, products, etc. to attract your customers/students. Since your audience dictates the planning of your marketing activities, marketing management should consist of:

  • Identifying your target audience
  • Identifying your audience’s interests, demands, needs, and so on
  • Identifying or modifying your services or products to meet the above needs
  • Identifying the appropriate pricing to suit the above
  • Identifying the process to manage and retain your customers/students by hosting more marketing events with suitable offerings

Before we head into the process, let me clarify some of the terminology I will be using in this post. In any marketing event, you have the main action items (Activities) that impact the event, and then you have the minor action items (Tasks), the ad hoc “to do’s” that help you complete the main action items. So, in the form of an equation, activities and tasks look like this:

Completion of TASKS = Completion of ACTIVITY

Completion of TASKS + Completion of ACTIVITIES = Completion of marketing event plan

CRM Process to Manage Your Marketing-Related Tasks

1. Define the activities leading to the execution of the marketing event.
2. Define the tasks leading to the execution of the activities.
3. Assign tasks to the event management team members.
4. Anytime a task is assigned, the specific team member will receive a notification in his/her workspace. To know this task is associated with a specific event, the task will contain the details of the marketing event.
5. Each task includes a due date and reminder, so the team member can prioritize the tasks.
6. Anytime a critical task goes beyond the due date, a notification can be sent to the marketing manager and the task assignee.
7. The status of the marketing event cannot be set to “Completed” or “Ready to Launch” unless all activities and their related tasks are completed. This serves as a good double check and provides the marketing team an opportunity to complete that task.

Advantages of Using the Task Management Functionality for your Marketing tasks

  • Report on the type of activities and tasks required for completion of an marketing event.
  • Compare this report to a similar past event and calculate the performance metrics.
  • Clone the activities and tasks for use with similar future events,so that you dont have to input the data all over again and also your actions items are already defined

So, those are a few insights into managing your marketing-related tasks.
